ParserBee

Airtable

Add every document you extract with a Parser Template to an Airtable table, automatically, with no Zaps and no copying.

Link a Parser Template to an Airtable table once. From then on, every document you extract with that Parser Template is added to the table on its own, whether it came from Data Lab, the API or Zapier.

Step 1: Connect your Airtable account

  1. Open the Parser Template you want to send to Airtable (Parser Templates, then click its name).

  2. Scroll to the Integrations section at the bottom of the page. On the Airtable row, click Connect. You can also connect from Settings > Integrations.

  3. Airtable asks which bases ParserBee may use. Pick the base (or bases) you want the data in, then click Grant access.

ParserBee can only see the bases you pick here. It adds rows, and adds columns when your Parser Template needs them. It never deletes anything in Airtable.

  4. You land back on the Parser Template page.

Step 2: Choose where the data goes

  1. On the Airtable row, click Set up.
  2. Pick the Airtable base.
  3. Pick the Table:
    • Create a new table (the easiest): ParserBee makes a table with a column for every field in your Parser Template, plus Source File (the file name), Document (a copy of the file), Extracted At and ParserBee Reference (a code that identifies the extraction; quote it if you contact support about a row).
    • An existing table: ParserBee fills the columns whose names match your fields ("Invoice Number" matches a field called invoice_number) and adds a column for each field that has no match.
  4. Click Save Integration.

Rows work like our Excel export: each item in a list, such as each invoice line, gets its own row, with the list's fields in their own columns. The document's details (file name, supplier, invoice number and so on) are repeated on every row, so you can filter, sort and group in Airtable. A document with no list items is one row.

Only documents you extract from now on are sent. Documents you extracted before you set this up are not copied across.

That's it. Extract a document in Data Lab and the row appears in Airtable a few seconds later.

What you see once it is set up

The Airtable row shows the table the data goes to. Click Open to go straight to it. The ... menu has:

  • Update columns: add back any column that is missing, for example after you added fields to the Parser Template or deleted a column in Airtable by mistake.
  • Pause and Resume: stop and restart sending without losing the setup.
  • Change table: send to a different table from now on.
  • Remove integration: stop sending. The table and its rows stay in Airtable.

If something needs your attention (the Airtable connection expired, or the table was deleted), a note under the Airtable row tells you what to do.

Good to know

  • Each Parser Template sends to one table. Several Parser Templates can send to the same table if you like.
  • New fields are added for you. Add a field to your Parser Template and its column is created in Airtable with the next document.
  • Renaming columns in Airtable is fine. ParserBee keeps sending to the renamed column. If you delete a column, ParserBee stops filling it and does not create it again unless you click Update columns.
  • Your own columns are safe. Columns ParserBee does not use (notes, status, owner) are never touched.
  • Dates are sent to Airtable date columns only when they cannot be misread, such as 2026-05-22 or 22 May 2026. A date like 05/06/2026 stays in a text column rather than risk swapping day and month.
  • Airtable plan limits apply. Airtable's free plan holds 1,000 rows per base. When a base is full, Airtable refuses new rows.
  • Adding columns needs creator access. If you can only edit the base, pick an existing table that already has the columns you need.

Disconnecting

Go to Settings > Integrations and click Disconnect on the Airtable row. Sending stops for every Parser Template until you connect again, and your setup is kept for when you do. To remove ParserBee's access completely, also remove it from the integrations list in your Airtable account.
